3. Reservations and Payments
- Reservations can be arranged via our website, over the phone, or at our West London office. A booking deposit may be necessary to confirm your reservation. The total payment and security deposit are generally required upon vehicle pickup. Prices are quoted in British Pounds (£) and include VAT as applicable. We accept major credit and debit cards, processed securely through trusted payment providers.
Vehicle Pickup and Drop-off
- At the time of collection, conduct a comprehensive inspection of the vehicle and report any pre-existing damage without delay. A vehicle condition report will be generated and signed to document the state of the car. When returning the vehicle, it must be in the same condition as it was collected, aside from normal wear and tear. Any new damage will be evaluated and charged to you as necessary. Ensure that the fuel level matches what it was at the time of collection; refueling fees will apply if it is returned with less fuel. If you anticipate returning the vehicle late, please contact us as soon as possible, as late returns may incur additional fees. You are responsible for any parking tickets, traffic violations, or other charges that arise during your rental period, alongside an administration fee.
5. Coverage and Responsibility
- Basic third-party insurance is included with every car rental. Full coverage information and any applicable excess amounts can be found in the Rental Agreement. Additional insurance options may be available to lower your financial responsibility. Review these options closely. You are liable for damage or loss up to the insurance excess amount, unless further coverage is purchased. Damage resulting from negligence or misuse remains your responsibility, irrespective of insurance.
6. Modifications and Cancellations
Cancellation and amendment policies differ depending on the booking type and the notice period provided. For precise information, consult your booking confirmation or Rental Agreement. Be aware that late cancellations or no-shows may incur additional fees.
Prohibited Activities

- The vehicle must not be used for illegal activities, including racing, off-roading, or any hazardous driving. Transporting dangerous materials is prohibited. Sub-letting or allowing unauthorized drivers is not permitted. Driving under the influence of alcohol or drugs is strictly forbidden. Ensure you do not exceed passenger or weight limits, and always adhere to agreed geographical boundaries.
Breach of these terms may lead to rental termination and extra fees.
8. Liability Limitations
To the fullest extent allowed by English and Welsh law, Car Hire in West London will not be responsible for any indirect, incidental, special, or consequential damages, including loss of profits, data, or business, resulting from your use of our services. Our maximum liability for any claim is capped at the total amount paid for the rental in the last 12 months. This limitation does not apply to liability for death or personal injury due to negligence or fraud.
